Our officers are a bunch of hard working people, and they all have different jobs. Below are brief job descriptions and requirements, as well as some recommended skills or things to have from past officers in that position. Every spring all of the officer positions go up for re-election, but to apply to be an officer you need to be an active member.
By running for an officer position you are agreeing to fulfill the following:
- Attend all AGS events. This includes general meetings every other week, socials and fundraisers once a month, weekly socializations, and officer meetings every other.
- Arrive to 15 or 30 minutes early to meetings and fundraisers
- Wear your polo and nametag to all meetings
- Spend one hour in the cube at Koldus each week
- Represent AGS positively both during and outside of AGS events.
President
- Requirements- Must have been an officer the term before elections
- Is elected during the last officer meeting by current officers before elections
- Duties include: Overseeing AGS activities, running officer meetings, making sure all officers complete their duties correctly and on time, attending all events, and coordinating officer's schedules.
Senior and Junior Puppy Raiser Suprivisor
- Requirements- Finished and passed Puppy Raiser Training, having extensive knowledge of positive reinforcement dog training, LOVE AGS and the puppy raising program- you are ALWAYS on call!!
- Preferred/Recommended-Have raised (and finished raising) an AGS dog, or at least have been an active puppy sitter, have been a previous officer so that you understand the inner workings of AGS
- Best suited for- those who have great time management/organizational skills and who can tolerate high levels of stress
- This is a HUGE job and CRITICAL to the program. If the PRS are not on top of the ball and VERY responsible, the AGS program will not work very well for the entire year, and probably the years after because they will have set a bad example
- It is probably the most work/time consuming of all the positions
- Also done at the last officer meeting before elections and elected by current officers
- Technically Senior is more in charge/ responsible but they are usually treated as equals between the two PRS
- Work in tandem with Sr. PRS to coordinate AGS puppy raising and sitting program
- This includes quite a few other duties like conducting the Raiser classes and tests, shelter hours and tests, home inspections, and having the final say on a potential raisers' skill and whether or not they get a puppy
- Monitor progress of dogs in-training, and offer helpful suggestions to raisers.
- This includes reading and responding to weekly and monthly reports, jacket testing puppies, planning and lead training outings twice a month and constantly evaluating each dog's suitability for the program
- Seek out donations from breeders and temperament test puppies to bring into the program
- Seek vet sponsors in the B/CS area
- Find secondary placement for graduated dogs and "career change" dogs
- Picking up food for current dogs in training
Director of Administration
- Recommended- Organization is key! It also helps to know something about handling bills and money, and managing bank accounts. It's recommended that you be a previous officer, though it isn't required.
- Handle the memberships- sign in sheets at events, points on the spreadsheet, who has paid dues, who has gotten a t-shirt, etc.
- Keep and distribute t-shirts (new and old), and if we have them fleeces
- Handling the money! At any given time we have 6-7 separate bank accounts with the student organization finance center, each with a specific purpose. You handle all reimbursement and judge the fiscal capabilities of the organization.
- Balance and reconcile all of the accounts each month
- Take meeting notes at the officer meeting, then type them up and distribute them to the officers
Director of Communications
- Recommended- anyone can apply, it's a good first time position. Computer skills are important. Knowing how to run/manage a website is recommended but not necessary, as long as you are computer savvy and can problem solve and figure things out on the run. Design skills are also good.
- Send out announcements over the list-serv. This is done anywhere from one to three times a week and is vital to the members. You have to compose messages and send them out in a timely manner so that members receive them on time
- Manage the e-mail account, which means check it daily for any e-mails, and then respond to them in a timely and professional manner, or forward them to those who can do so. Also keep up the list-serv emails, entering all new ones and deleting those who ask to be removed
- Update and maintain AGS website- this is done weekly if not more often so that it reflects current events. (Can be up to 3 or 4 hours a week just doing that, but it's usually more like 1. For instance, I had to make this entire page and write all of the descriptions). It must look professional and good grammar and spelling are both needed
- Run the facebook page (doesn't take much time), send facebook messages for some events
- Document all events (pictures) and make a scrapbook at the end of the year
Director of Fundraising
- Recommended- you will be representing AGS to a lot of companies, so you need to be able to represent AGS in a good manner. Also an okay starting officer position.
- Come up with fundraising ideas and opportunities, be prepared to change and modify those plans during the semester, and present ideas at officer meetings for approval and discussion.
- Set up fundraiser, and manage all major aspects of the event. This includes purchasing supplies, establishing a location, managing assistants for the event, recruiting and contacting members, dealing with sponsors of fundraiser, publicizing the event and thanking participants of event
- Keep track of the money raised during the event, write receipts if necessary
- Transfer all money to the Director of Administration immediately to be deposited. If you cannot get the money to the Director of Administration within 24 hours, deposit the money yourself, turn in all receipts from purchases made for the event. You will be reimbursed for these expenditures.
- Maintain an updated list for all AGS inventory
- Be able to store all AGS fundraising inventory or have someone store the items for you. All stored items pertaining to your duty are your responsibility, regardless of their location
Director of Programs
- Recommended- you need to be able to talk to possible speakers and represent AGS well when talking to them and be able to speak in front of people. Also a good starting officer position.
- Is in charge of all of the general meetings
- This including contacting possible speakers, organizing the speakers and presentations
- Making and presenting the PowerPoints for the meetings (public speaking!)
- Coordinating and giving community presentations and programs
Director of Publicity
- Recommended- you should like writing things! You also need good grammar and spelling, lots of people will be reading what you write. Also a good starting officer position.
- Write the paw print for the meetings
- Keep the tri-fold posters up to date
- Make/update the AGS brochure when needed
- Make/update AGS business cards when needed
- Make any flyers to promote AGS events
- Promote AGS events through local media if needed
Event Coordinator
- Recommended- Have the funds to pay for the food and drinks, etc, at the meetings and events. This can cost upwards of $200 at times, and you won't get reimbursed for at least two weeks, so you need to have the cash to spare to take care of that. Don't be a procrastinator. If you don't get food and event things taken care of in a timely manner, AGS suffers. This is an okay starting officer position.
- Have lots of ideas for events that AGS could do. Most of them will not work out for financial or other reasons, so you have to be able to come up with a lot of options so that something can be agreed upon.
- Assist the Directors of Fundraising and Programs in the planning and implementation of fundraising and educational events
- Set up and coordinate socials
- Plan, prepare for, and organize all other AGS events including celebrations, banquets, etc. This involves making reservations when needed, and getting food and drinks when necessary.
- Schedule, plan for, and organize to have an AGS booth set up at public events (ex. MSC Open House, Vet School Open House)
- Contacting different food vendors to compare prices and finding the best deal for AGS, and then making sure that it will be ready on time
- Getting the food and drinks to the meeting and setting it up
- Have a means of transportation and storage. You have to pick up the food and drinks for the meetings beforehand, and have to bring it all in your vehicle. Ensure that there is room for everything r some other way of getting it there without relying on other officers unless they have agreed to it beforehand.Have room to store the AGS coolers
